Several disciplines, one practice
A podiatrist and a speech therapist can work in the same VIMA practice. Each practitioner gets the features of their own discipline: the podiatrist works with the foot chart, the speech therapist with the therapy plan. The team schedule is shared.

One team schedule, a calendar per practitioner
Every practitioner has their own calendar. Together you work in one shared schedule: the whole team sees their colleagues' calendars, so you can see straight away who is free and when.
More than one location
Working from more than one address? Every appointment records the location, the room and the practitioner. Each location gets its own online booking link: a patient who books through that link books at that location.
Rooms without double bookings
You manage your rooms in VIMA and link them to treatment types. When a room is already taken, VIMA rejects a second appointment in that room at the same time, even when a different practitioner tries to book it.
Roles and permissions: Practitioner, Administrator, Telesecretariat
Everyone you invite gets one of three roles: Practitioner, Administrator or Telesecretariat. That is how you decide what your secretary can and cannot see.
- The telesecretariat manages the calendar and appointments, sees the patient list and works along in Tasks.
- The telesecretariat has no access to consultations, reports, documents, medical history, medication, prescriptions, working notes and invoices.
- Commissions, the feature policy and settings stay closed to the telesecretariat as well.
- A telesecretariat account is free and does not change your subscription.
A feature policy for the whole practice
For each feature you choose: personal choice, forced on or forced off. A forced setting overrides each practitioner's personal choice and is locked for them. Only the owner or administrator can change it. Features that do not belong to a discipline stay off for that discipline.
Commission per therapist
Agreed a commission with your therapists? Record it per therapist in commission rules.
- Three rule types: a percentage, a fixed amount per session or a fixed monthly amount.
- A rule covers everything or only the treatment types you choose, with a validity period.
- Only the administrator creates, changes or deletes rules.
- When a new rule overlaps an existing one, VIMA rejects it.
- The administrator gets a monthly overview.
Team follow-up: Tasks and Points of attention
Anyone on the team, the telesecretariat included, creates a task, links it to a patient and assigns it to a colleague, who then sees it under My tasks. Tasks are organised in lists.
On top of that, Points of attention give the whole team one overview.
What does VIMA cost for a group practice?
You pay per practitioner: €30 per month excl. VAT for the first practitioner and €25 per month excl. VAT per extra practitioner or practitioner-administrator. A telesecretariat account is free.

Yes. Every location has its own online booking link that locks the location. On every appointment VIMA stores the location, the room and the practitioner.
What does an extra practitioner cost in a group practice?
€25 per month excl. VAT per extra practitioner or practitioner-administrator, on top of €30 per month excl. VAT for the first practitioner. A telesecretariat account is free and does not change your subscription. Three practitioners and a telesecretariat cost €80 per month excl. VAT in total.
Can the secretary work along without access to consultations and reports?
Yes. With the Telesecretariat role your secretary manages the calendar and appointments, sees the patient list and works along in Tasks. Consultations, reports, documents, medical history, medication, prescriptions, working notes and invoices stay closed, and so do commissions, the feature policy and settings.
Can different disciplines work together in one VIMA practice?
Yes. Practitioners from different disciplines work in the same practice, and each practitioner gets the features of their own discipline, such as the foot chart for a podiatrist or the therapy plan for a speech therapist.
