Six building blocks to get started

  1. Your practice

You are building a speech therapy practice that looks professional from your first session: your services, your hours and the administration behind them. Your recognition and visa, your RIZIV/INAMI number, whether you join the RIZIV/INAMI agreement, your CBE registration and your VAT situation are arranged outside VIMA, with the competent authorities.

  2. Your online calendar

Your calendar is ready and your booking page is open 24/7. Patients pick a date and time themselves within the availability you open, automatically receive a confirmation and a reminder by email, and anyone who cannot get a slot yet goes on your waiting list.

  3. Your patient record

Each patient gets one record with their details, sessions, your own notes, reports and documents together. What you write down is up to you: VIMA imposes no fixed assessment or treatment structure and makes no clinical judgement.

  4. Your reimbursement dossier

For each pathology you open a reimbursement dossier with the prescription, the medical advisor’s approval, the linked RIZIV/INAMI codes, the quota, the end date and the context of your initial assessment and any extension notification. Several dossiers can run side by side for one patient. You write your assessments yourself; VIMA does not judge entitlement to reimbursement.

  5. Your sessions and attestations

You record the session and choose the Article 36 service: you see the code, the category with its description and one displayed amount, and you enter the details for your attestation. When an attestation is correctly linked to a reimbursement dossier, VIMA counts the quota used based on the registered data. That is not a legal or tariff guarantee, and there is no automatic alert when the quota runs out or the end date approaches. For the current official nomenclature and tariffs, RIZIV/INAMI remains the source.

  6. Your monthly statement and payments

If you work with the third-party payer scheme, you find the third-party payer data you registered in a monthly statement overview per health insurance fund, built from what you entered. Patient co-payments and regular payments are tracked in the same system, with a payment receipt per session; VIMA does not compare that data with your bank account and does not establish whether payment has been made. Even if you are not under the agreement, you must respect the tariffs of the 2026-2027 agreement when you use the third-party payer scheme; any supplement is a separate matter and is only possible where the current rules and the patient’s situation allow it. Electronic submission depends on availability and activation for your practice; ask us at [email protected] and you will know in advance what is already possible for your practice.

Decision matrix

Does VIMA fit your start?

You are starting a solo speech therapy practice and want to keep scheduling, records and RIZIV/INAMI administration together.

Follow appointments, patient records, reimbursement dossiers, Article 36 choices, third-party payer registration and monthly statement overviews together, based on what you register. When your practice is activated, discuss with us which electronic submission is available.

You work outside the agreement or combine the third-party payer scheme with your own payment follow-up.

Record your sessions and keep an overview per health insurance fund. Check the applicable tariffs and supplement rules with RIZIV/INAMI and in the agreement.

You are looking for clinical therapy planning, a homework portal or pathology-specific treatment content.

VIMA brings the administration around your records, sessions, payments and documents together. For specialised therapy content or homework modules, you use an additional tool where needed.

Available in VIMA. Your practice administrator enables Vimy. Start with €5 of free Vimy credit.

From your first session, Vimy writes along

Vimy listens with your client’s consent and writes the session report as a draft; you review and finish it. Reimbursement files remain your own registration. A question about VIMA? Ask Vimy in support.

You start with a one-time €5 of free Vimy credit, no payment card needed. Usage depends on your recording and the report you create.

What you see in VIMA before you decide

Four VIMA screens, shown in the French interface: a patient’s reimbursement dossier, the receipts in the patient record, the monthly statement per health insurance fund and the overview of your RIZIV/INAMI social status.

Reimbursement dossier in VIMA (French interface) with pathology, medical advisor’s approval, approval date and end of reimbursement
One reimbursement dossier per pathology, with the pathology, the medical advisor’s approval, the approval date and the end of reimbursement. You fill in the dossier and write your assessments yourself: VIMA does not decide on entitlement to reimbursement. Whether electronic submission is possible for your practice depends on activation; feel free to ask us.
Receipts block of the patient record in VIMA (French interface) with the button to bill sessions and one receipt to be paid
The Receipts block of the patient record: the button to bill sessions, then each receipt with its number, date, due date, status and amount. This image shows no Article 36 code and no RIZIV/INAMI tariff.
Monthly statement tab in VIMA (French interface) under Finances, Health insurance fund, with period and fund filters and the statuses To print, Printed, Sent by email and Paid
The monthly statement tab: you filter by period and by health insurance fund, and each statement moves from To print to Printed or Sent by email, then to Paid. Here, no statement has been created yet. Submitting stays your step: VIMA sends nothing electronically to a health insurance fund or to RIZIV/INAMI and guarantees no acceptance or payment.
RIZIV/INAMI social status overview in VIMA (French interface) with the year’s R-value, services with and without nomenclature and a monthly breakdown
One page with your yearly R-value, your services with and without nomenclature and an overview per month. It is a follow-up based on what you register in VIMA: it decides nothing about your social status and guarantees no right or payment.

Your bookkeeping

Frequently asked questions

Can I set up VIMA before I have my first patient?

Yes. You fully set up your calendar, your availability, your forms, your report templates and your online booking page before anyone books. You start with an empty record and add patients as they sign up. So you do not need to import anything to get started.

What does VIMA cost for a new speech therapy practice?

€30 per month excl. VAT for your first practitioner and €25 per month excl. VAT per additional practitioner. The scheduling, patient records and the speech therapy and RIZIV/INAMI workflows VIMA supports are included in the subscription; optional text messages and optional campaign email credits are billed separately based on use. You try it free for 60 days, with no credit card. There is no installation or setup fee and you can cancel any month.

Which speech therapy and RIZIV/INAMI workflows does VIMA support from my first patient?

From your first patient, VIMA supports these workflows: a reimbursement dossier per pathology in which you enter and find the prescription, the medical advisor’s approval, the linked RIZIV/INAMI codes, the quota, the end date and the context of your initial assessment and any extension notification; recording a session with the choice of an Article 36 service, where you see a code, a category and one displayed amount; quota use based on correctly linked attestations; your third-party payer, co-payment and payment fields per session; a monthly statement overview per health insurance fund based on what you registered, which you submit through the procedure available to your practice and the requirements of the fund or RIZIV/INAMI; a yearly overview of your R-value based on your registered data; and your documents and reports in the record. These workflows are included in the same subscription. You remain responsible for timely extension and correct entry. VIMA does not guarantee legal or tariff accuracy: for the current official rules and tariffs, RIZIV/INAMI remains the source, and VIMA does not decide on reimbursement or payment.

Does VIMA track the session quota and end date of a reimbursement dossier?

The reimbursement dossier shows the quota and end date you enter. When an attestation is correctly linked to that dossier, VIMA counts the quota used based on the registered data. That is not a legal check: there is no automatic warning when the end date approaches or the quota is used up. The prescription, the medical advisor’s approval and the decision to continue treatment remain your responsibility, and the current rules are those of RIZIV/INAMI.

Does VIMA also work if I am not under the agreement?

Yes. VIMA records your workflow and data: you choose an Article 36 service, see its code, category and displayed amount, and complete the financial fields for the third-party payer scheme. VIMA uses registered agreement, increased-reimbursement and tariff data as workflow support, but what appears on screen is not legal confirmation that the tariff or reimbursement is correct in your patient’s situation. A speech therapist outside the agreement who works with the third-party payer scheme must also respect the tariffs of the 2026-2027 agreement. Any supplement is a separate matter and is only possible where the current rules and the patient’s situation allow it. VIMA does not decide on reimbursement or payment; electronic submission depends on activation for your practice.

Does VIMA write my initial assessment or extension notification?

No. Your clinical content remains your work. In the reimbursement dossier you keep the context, such as dates and related documents, and for your reports you use adaptable templates that you export as PDF. VIMA writes no clinical content, assesses no indication and does not determine whether an application, extension notification or other conditional procedure is approved.

Does VIMA submit my attestations and monthly statements to the health insurance fund or RIZIV/INAMI?

VIMA prepares your administration with the data you register yourself and shows it in a monthly statement overview per health insurance fund. Sending or electronic submission depends on the workflow available and activated for your practice. Wondering whether MyCareNet, eHealthBox, Vitalink or other care network connections are available for your practice today? Ask us at [email protected] before you plan around them. VIMA never guarantees acceptance, approval or payment.

Does VIMA arrange my recognition, visa, RIZIV/INAMI number, CBE registration or VAT?

No. VIMA is practice software, not a recognition body, accountant or legal adviser. You apply for or receive your recognition from the competent Community, the visa then follows through the FPS Public Health, your RIZIV/INAMI number and your choice about the agreement are arranged with RIZIV/INAMI, and your CBE registration, VAT situation, social insurance fund and insurance are arranged with the competent bodies and your own accountant.

Is Vimy useful for a new speech therapy practice?

Yes. Vimy, the AI assistant in VIMA, writes the report of your session as a draft with consent and answers your questions about VIMA. You start with a one-time €5 of free Vimy credit, no payment card needed. You keep your reimbursement dossiers and RIZIV/INAMI administration yourself; Vimy does not fill them in.
