    You set up your own consultation types, each with its own duration and price, and decide which ones can be booked online. A first consultation, a follow-up consultation and a group session can each be set up differently.

  4. Your intake in advance

    The nutrition history and nutrition advice report templates are ready in the form library and you adapt them to your own practice. Your patient fills in the nutrition history beforehand and the answers land in the record, so your conversation does not start with filling in forms.

  5. Your patient record

    Every patient gets one record with their details, consultations, your own notes and documents together. You decide what you write down: VIMA does not impose a fixed structure.

  6. Your follow-up and admin

    Nutrition coaching runs over several consultations. You schedule the next appointment straight from the consultation, let a reminder go out and create the payment receipt in the same system.

Can I set up VIMA before I have my first patient?

Yes. You fully set up your schedule, your consultation types, your forms and your online booking page before anyone books. You start with an empty record list and add patients as soon as they sign up. So you do not need to import anything to get started.

What does VIMA cost for a dietitian practice that is just starting?

€30 per month excl. VAT for your first practitioner and €25 per month excl. VAT per extra practitioner. The practice software is included in the subscription; optional text messages and optional campaign email credits are billed separately based on use. Does VIMA do nutrition calculations, nutrient analyses or meal plans?

VIMA organises the admin of your practice: scheduling, online booking, consultation types, the nutrition history and nutrition advice report forms, the patient record, follow-up and payment receipts. Whether nutrition calculations, nutrient databases or meal plans are available for your practice, we are happy to show you in a demo. Clinical interpretation and dietary advice remain your professional work as a dietitian.

Does VIMA arrange my recognition, my RIZIV/INAMI number, my KBO/BCE registration or my VAT?

No. VIMA is practice software, not a recognition body, an accountant or a legal adviser. Your recognition, your visa, your RIZIV/INAMI number, your KBO/BCE registration, your VAT status and your insurance are arranged with the competent authorities and with your own accountant. VIMA also does not handle reimbursements or payouts by health insurance funds.

Does VIMA work for a solo practice, a side practice and a group practice?

Yes, for all three. You start with one practitioner and later add extra practitioners at €25 per month excl. VAT per extra practitioner, within the same practice environment. You set availability and access rights per user; as a practice you decide which access goes with which role.

Does VIMA do my accounting?

No. VIMA keeps track of your payments, payment receipts and outstanding amounts. Your accountant takes care of your bookkeeping and tax returns, separately from your VIMA subscription.

Does Vimy write along from my first nutrition consultation?

Yes. Vimy, the AI assistant in VIMA, listens with your patient’s consent and prepares the report as a draft in the record; anything that was not discussed stays empty.
